How to add shop products and variants

Sell your official merchandise via your online shop. This section explains how to set these up and what product variants are for.

In the Admin Area navigate to Shop > Products then click the Add Product button

Name - this is the main title of the product that gets displayed across the whole site

External Link - This field should only be used if you are wanting to link to an external product. To take payments and sell the product through Charity Hive, leave this field blank. Enter a full URL (including https://) to where you would like the "Find Out More" button to go to.

Product Supplier - select the supplier from the list to assign this product to. If you have not yet created a Supplier, you will be prompted to do so. For more details on how to manage supplier click here.

Categories - the categories for this product (can be left blank).

Special Instructions to Supplier - this is optional and the text in here will be sent in the order email to the associated supplier.

Sort Order - a numerical value to order each product within the main shop page. Lowest number gets shown first.

Visible - enable this to show on the website.


Pricing

Price - the price of the product

Sale Price (Optional) - the sale price of the product

Available From - the date and time the product is available from. Click the text field to show a calendar popup and click the date. Select the start time (24 hour clock) from the dropdown menus. Once this date has passed, the product will show in the shop

Available Until - the date and time the product is available until. Click the text field to show a calendar popup and click the date. Select the start time (24 hour clock) from the dropdown menus. Once this date has passed, the product will no longer show in the shop

Sale From - the date and time the product will be on sale from (assuming you have included a "Sale Price" as above). Click the text field to show a calendar popup and click the date. Select the start time (24 hour clock) from the dropdown menus. Once this date has passed, the product will be on sale.

Sale To - the date and time the product will be on sale until (assuming you have included a "Sale Price" as above). Click the text field to show a calendar popup and click the date. Select the start time (24 hour clock) from the dropdown menus. Once this date has passed, the product will no longer be on sale and will revert back to the normal "Price".


Personalisation (Optional)

Add Personalisation Field (leave blank to hide this option) - Include the name of your field when asking your customers for any specific details e.g. Gift Message

Helper Text (optional) - Displays above the field and can be used to provide any useful information

Tick if this is this a required field? - tick this box if the field is mandatory, otherwise this will be optional

Product Variants

Product variants need to be added after you have created this product and returned via the "Edit" button.

What are product variants? these refer to different versions of a single product that share the same core features but vary in specific attributes such as size, colour, material, or style. For example, a t-shirt may have variants based on size (S, M, L) and colour (red, blue, black). Managing product variants helps improve stock organisation, streamline online shop navigation, and enhance the customer shopping experience.

Note: If you’re product doesn’t have multiple variants, you will still need to create a single variant (this generally matches the same name as the

Variant Name - name of Variant (e.g. "Black, Small" or "Blue, Medium")

Sort Order - a numerical value to order each ticket type. Lowest number gets shown first.

Price Surcharge - if this variant is cheaper or more expensive than the main price above, please add the difference as a numerical value. See image below, this surcharge will be shown next to the variant (e.g. +£5.00)

Stock Quantity - add a numerical value based on the stock you have for this variant. This value will decrease as these variants are sold. Zero (0) means it is Sold Out, and -1 can be used for unlimited stock.

Weight (g) - the weight of this product (can be left blank)

Product Image Upload - this image is used for the variant (1,000 wide x 1,000 high pixels recommended - jpg, jpeg or png formats)

Requires Shipping? - if this is ticked, the customer will be asked to input their shipping details during checkout. Leaving unticked works well for digital products that don't require shipping.

Once you've added all the relevant information, click the Add Variant button

To finalise everything, click the Save Changes button
